View your booking sales over a particular period.
Bookings Report
To find the total sales generated from bookings that occurred during a particular period navigate to the bookings report. In this example I’m going to find the amount of sales generated from bookings that occurred in July. This gross sales figure will exclude any discounts. The report will also provide summary figures on the amount of balance owing on these bookings as well as the total tickets.
It’s important to note that because this report is based on booking date the sales figures won’t reconcile with other sales figures from other reports in the platform, as these reports will recognize sales figures on the date of the transaction NOT the date of the booking.To find the amount of cancelled tickets for bookings in this same period just filter for status to cancelled. The summary figure will change to only show cancelled ticket numbers.
To find the total value of bookings in the past that still have amounts owing (Also known as accounts receivable) you just need to filter for booking dates in the past that have a status of pending or partially paid. You will need to perform these actions separately within the reporting grid, unless you export to CSV. In this example I’m going to find any accounts receivable for bookings in the last 12 months. Using this data I can now either chase payment or investigate these bookings to see why payment has not been taken.
Detailed product sales report
To find the breakdown of sales within your venue by product navigate to the Detailed Product Sales report and filter for the date range you want the data to appear for.
The data will automatically show all products that have sales in that period. You can see how many were sold, the gross sales amount, their unit cost, as well as the total funds received. It’s important to recognize the difference between gross sales & funds received. Gross sales are generated when an item is added to a booking and is inclusive of discounts, gift card redemptions and doesn’t take into account whether full payment was made or not. Funds received refers directly to when the money was received for the product. This is exactly why unit cost x sale price often doesn’t equal the funds received. Because of discounts, gift card redemptions, partial payments or delayed payment.
If you want to compare sales between different products or sets of products, you will need to filter for those products and then click apply filter.
In this example I’m filtering for only stock products. The summary figures displaying now directly relate to the stock products and not all products. This report also includes which reporting category the products belong to. So if you want to filter by reporting category you can do so by exporting to CSV > applying a filter > filtering by reporting category Please note that package sales will not show in this report. If I have a sale for a package which includes 3 items, sales will show in this report for the 3 items and not the package itself.
Package Product Sales Report
If you want to find the total sales for package products you will need to navigate to the Package Product Sales report. This report will display similar data to the detailed product sales report however it will only show sales for packages. If a package has 3 items, it will appear in this report as 1 sale.
Invoices Report
If you want to find unpaid invoices so you can follow up these up with customers, you will need to navigate to the invoice report. This report will show a full list of invoices along with it’s payment status, as well as the status of the booking where the invoice was generated. You can use then use this list to find invoices that are unpaid and easily access the associated booking so you can chase this up with the customer. One thing to note is that the booking status and invoice payment status aren’t necessarily linked. If you issue an invoice & the customer doesn’t pay using this invoice, then the booking status will be fully paid and the invoice will still show as unpaid. We recommend cancelling invoices if the customer has paid using other means. You can use this report to double check the correct invoice process is being followed.
