Use invoice and payment link reports to track billed, paid and outstanding revenue.
When bookings, payments, and follow ups are all happening at once, it's easy to lose track of what's been paid and what's still outstanding.
The Invoices and Payment Links reports help you clearly separate confirmed funds received from payments still in progress so you can follow-up confidently and plan ahead.
In this video, you'll learn where to find these reports, how to read them, and how to use them together to understand what money is confirmed and what's still pending.
All reports in Roller live inside Venue Manager. From Venue Manager, go to reports, then all reports.
From here, you can search for invoices and payment links.
These reports focus specifically on billing and payment activity, not product sales.
Let's start with the invoices report.
This report shows every invoice created in Roller, giving you a clear view of what's been billed, what's been paid, and what's still outstanding.
You can review issue and due dates, invoice numbers, amounts, and booking status all in one place.
This makes it easier to spot unpaid or overdue invoices.
One important thing to understand in this report is how booking status and the paid column work together.
The paid column shows whether the invoice itself has been fully paid or not.
If an invoice is paid by credit card, it's automatically marked as paid. For other payment methods, it needs to be manually marked as paid in the bookings activity stream.
The status column reflects the booking status, such as partially paid, fully paid, or canceled. You can filter the report by booking status to drill into these further.
There are also cases where a booking is fully paid, but the invoice still shows as pending.
This can happen if payment was taken outside of the invoice, for example, at POS.
In that case, the invoice may need to be canceled to keep records accurate.
Reading both columns together helps you understand what's been settled and what still needs follow-up.
Next, let's look at the payment links report.
A payment link is a shareable link generated from a booking that allows a guest to complete a payment online.
Payment links can be created through POS or from the booking itself.
This report shows which links have been sent, which have been paid, and which are still pending.
From a reporting perspective, this makes follow ups much easier.
You can quickly see which payments are still expected but not yet confirmed, helping you understand upcoming cash flow and where reminders may be needed.
This is especially helpful when the guest isn't physically present.
If you're looking to reduce manual follow-up, consider using tentative bookings, which automatically cancel when payments aren't made.
You've just learned how to review invoices and payment links to understand what's been billed, what's been paid, and what revenue is still pending. You're ready to follow-up on outstanding payments, forecast more accurately, and plan with confidence.
