Allocating a POS device means linking a physical computer or tablet to a POS device profile in Roller. This tells Roller which device is being used to process sales and payments.
Each POS device can only be allocated to one computer at a time.
Correct allocation ensures sales, cash handling, and reports are tracked accurately.
If a device is allocated incorrectly, you may see errors like device in use or find devices unavailable when logging in.
When you open POS on a computer or tablet, you may be prompted to select a POS device. This usually happens the first time the device is used or after it has been deallocated.
Once selected, the device is allocated and ready for staff to log in.
After the device is allocated, staff log in using their POS PIN.
PIN login is designed for fast access during busy service periods.
Logging in identifies who is using the device. Allocation identifies which device is being used.
During service, staff should log out when handing over a POS device.
This allows the next staff member to log in with their own PIN.
Each sale is recorded under the staff member who is logged in at the time of the transaction.
Logging out and deallocating are two different actions.
Logging out switches the staff member using the POS device. The device stays allocated to the same computer.
Deallocating removes the link between the POS device profile and the computer or tablet.
You should only deallocate a POS device when it's no longer in use.
For example, if a device is being replaced, moved, or taken out of service.
Never deallocate a device that's actively being used during service.
If you see a message like device in use or a device appears grayed out, it usually means the device is still allocated elsewhere.
To fix this, deallocate the device in Venue Manager.
Then refresh POS and reassign the device.
Only deallocate devices that are not actively in use.
Clearing your browser cache will also deallocate the POS device. If this happens, the device will need to be reallocated the next time you log in.
