Get started in Venue Manager

Navigate Venue Manager to access bookings, products, guests, reports and settings.

In this video, you'll learn how to navigate Venue Manager and where to configure, monitor, and manage your venue in Roller. It differs from POS, which is used to sell items face to face and check guests in for booking. Instead, venue manager is where you set up your venue, track performance, and manage operational settings. The menu is how you navigate through venue manager. From here, you can access your dashboard, bookings, products, guests, documents, reports, apps, and settings. This menu is your main navigation panel. Everything starts here.

The dashboard shows real time data for a single day at your venue. If your venue uses guest surveys, you'll see guest survey feedback including your guest experience score, response trends, and recent comments.

In the daily summary, you can quickly view guests booked, funds received, check ins, and recognized revenue, along with an expected attendance chart to help you anticipate busy periods.

You'll also see membership KPIs and a breakdown of product sales for the selected day.

This page is designed for quick visibility, so you can quickly understand performance before viewing detailed reports.

The booking section is where you manage everything related to guest reservations. You can search, filter, and update existing bookings.

From here, you can create a booking for guests who call or walk in. Calendar gives you a monthly view of upcoming bookings, and daily capacity helps you monitor attendance, redemptions, and availability for a specific day.

You'll also find tools here to manage blocked capacity and view booking transactions.

Products is where you build and manage everything your venue sells, from session passes and party packages to memberships, gift cards, and stock items like food or merchandise.

Each product controls pricing, schedules, and, where relevant, capacity through linked resources.

This is also where you create and manage discount codes, price rules, and product schedules. Every item a guest can purchase, online or at POS, starts in the product section.

The guest section is your central customer database enroller. Every time someone makes a booking, signs a waiver, or submits their details, a guest record is created here. From a guest record, you can view contact details, booking history, total spend, and any signed waivers. You can also flag guests, merge duplicate records, and create segments to group guests for marketing or reporting. This is where you go when you need the full picture of a customer's history with your venue.

Documents is where you manage the booking agreements, forms, and waivers your guests need to complete before or alongside a booking. These documents are used to collect important details, capture consent, and ensure guests are prepared before they arrive.

While they're created and managed here, they're completed by guests during the booking process or through shared links. Use the document section to keep your guest agreements, forms, and waivers consistent and up to date.

Reports is where you go for deeper data and analysis across your venue. From here, you can access financial reports, booking reports, transaction breakdowns, attendance insights, and membership performance.

You can filter data by date range, customize columns, save views, and export reports for further analysis. If the dashboard gives you a snapshot, reports lets you view detailed data behind the numbers.

Apps is where you access things like your online checkouts, point of sale, kiosks, and mobile check-in.

This is where you access the rest of your Roller ecosystem from Venue Manager. Settings is where administrators configure how Roller works for your venue.

From here, you can update your business details, contact information, and venue policies, as well as manage taxes and fees. You'll also control important defaults, who receives booking notifications, and whether staff can overbook capacity.

At the top of the menu is global search. This lets you quickly find bookings, guests, or memberships from anywhere in Venue Manager. You can quickly open it anywhere in Venue Manager by using alt plus s on Windows or Option plus S on Mac. You can search by booking ID, booking name, guest name, email, or membership number. When you need to find a record fast, use the global search.

The activity center is your task hub inside Venue Manager. This is where you manage things like new booking inquiries, guest email replies, tentative booking cancellations, and other alerts that need action.

Notifications are organized into to do, snoozed, and done, so you can prioritize and keep track of what's been handled.

You can also hover over a notification to quickly mark it as done, snooze it for later, or assign it to another team member.

The notification bell shows general alerts, such as when a report export is ready.

Together, these tools help you stay organized and know what needs attention.

If you ever need support, select the help icon in the bottom corner of the screen.

From here, you can access step by step articles related to the page you're on, open the full help center, start a live chat with support, or explore training in Roller Academy.

You can also check platform status to see if there are any known issues or view what's new in the product.

From your profile icon, you can view your profile, log out securely, or switch venues if you have access to multiple locations.

You can also access your Playground account to trial new features or practice using Roller without affecting your venue's live data.

Finally, you can refer another business to Roller. You now understand how Venue Manager is structured and where to find everything you need, from bookings and products to guests, reports, settings, and support.

You know how to move around the platform, use global search to find records quickly, and access help when you need it.

From here, we'll start exploring each area in more detail, so you can confidently manage your venue day to day.
